practical guide

A meeting summary you can verify.

Turn notes into decisions, owners and next steps. Use the example, prompt and review checks below with your own team.

You will have a summary with sources, confirmed tasks and clearly marked open questions.

Free, with no sign-up. This example uses fictional data.

Prepare notes you are allowed to use

Start with fictional or anonymised notes. Use real data only in tools and accounts approved by your organisation. Remove information that the task does not need and respect access rules. Number the notes so you can verify every summary item against its source. Copy the prompt below and add the notes after it. Review the draft against the sources and confirm open questions with the team. Transfer only confirmed decisions and tasks to your tool, or send them to the participants.

A prompt you can reuse

Copy the instruction and paste your prepared notes below it.

Summarise the meeting notes that follow this instruction. Write in English.

Use only information from the notes.
Separate decisions, next steps and questions to confirm.
For each task, include an owner and deadline only if they were explicitly agreed.
If an owner or deadline was not agreed, state that it was not agreed. Do not assume one.
Cite the number or a short quotation from the relevant note for every item.
If the notes conflict or are unclear, flag the item for human review.
Do not send anything or write to other tools. Return a draft for review.

How the workflow works in practice

Illustrative examples with fictional data. They show the process and human review, not the results of a client project.

Turn meeting notes into decisions and next steps

Input
Fictional notes, 28 October 2026.
[1] Ana: I will collect customer feedback by 30 October 2026.
[2] Marko: We will keep the current price until the next review.
[3] A draft of the instructions for the new form needs to be prepared. No owner or deadline has been agreed.
Output
DECISION
Keep the current price until the next review. Source: [2].

NEXT STEPS
1. Collect customer feedback. Owner: Ana. Deadline: 30 October 2026. Source: [1].
2. Prepare draft instructions for the new form. Owner: not agreed. Deadline: not agreed. Source: [3].

TO CONFIRM
Who will prepare the form instructions, and by when?
Process
  1. Separate confirmed decisions from tasks and open questions.
  2. Include an owner, deadline and source for each item only when they appear in the notes.
  3. Request human confirmation before transferring anything to a task tool.
Human review
  • Compare every decision and task with its cited source.
  • Confirm names, deadlines and whether a decision was actually made.
  • Confirm unassigned responsibilities and deadlines with the team. AI does not assign them.
What we measure
  • Time from notes to a reviewed summary.
  • Number of corrections, missed items and open questions before sharing.

Check before sharing

  • Compare every decision and task with its cited source.
  • Confirm names, deadlines and whether a decision was actually made.
  • Confirm unassigned responsibilities and deadlines with the team. AI does not assign them.
  • Remove sensitive information and check who may see the final summary.
  • If a note is unclear, ask the participants. The summary does not confirm a decision on their behalf.

Try it on one task.

Compare the time needed to produce a reviewed summary and the number of corrections. If the example suits your team, save the prompt and agree who reviews the output. Explore our practical training to work on your own processes.

What to expect from our first conversation

  1. Prepare a short description. Choose a task or process, list the tools you use and prepare a safe example without sensitive data. Passwords and private documents are not needed.
  2. We talk for 30 minutes, free of charge. We discuss your goal, current workflow and main obstacles, then see where DTC can help.
  3. We agree on the next step together. If it makes sense to continue, we define a specific scope. The scope and terms of an AI audit, workshop or development project are agreed separately from the free conversation.

Sending an enquiry does not confirm a booking. We arrange a time after getting in touch.
